When outdated systems start getting in the way of growth, it’s not just an inconvenience—it’s a threat to your growth path. That was the reality for our client, Agri-Sure, a company offering equipment coverage for agricultural machinery across the United States. Their service was valuable and in demand, but their operations were stuck in the past: paper-based workflows, inflexible technology, and zero automation. It was clear they needed more than a new platform—they needed a scalable digital foundation.
This is how we transformed their entire operation using the full power of HubSpot’s ecosystem—empowering them with automation, visibility, and confidence to scale beyond borders.
The Challenge: A Business Held Back by Manual Systems
Agri-Sure operates in a B2B2C model, selling equipment coverage through a network of agricultural dealerships. While their product was critical to protecting farmers’ machinery, their internal systems were anything but efficient.
Sales reps had to physically visit dealers to leave paperwork. Coverage forms were filled manually, submitted offline, and tracked through spreadsheets. There was no clear visibility into which dealer had sold what, or what payments were due. Leadership had to rely on phone calls and manual checks to get basic insights.
Their website was also part of the problem—built on a rigid CMS with hardcoded templates, it was nearly impossible for internal teams to update. It lacked flexibility, responsiveness, and couldn’t support multilingual or multi-regional needs.
In short, the business had outgrown its tools. To grow, they needed real automation, a centralized data system, and infrastructure that could scale.
The Vision: Build a Smart, Scalable Digital Ecosystem
From the beginning, our goal was clear: go beyond a simple platform migration and instead engineer a complete business transformation. We focused on three key outcomes:
- Operational Efficiency: Eliminate manual processes and streamline dealer workflows.
- Data Transparency: Create a centralized system of record with real-time visibility.
- Scalability: Build a foundation that supports regional expansion and long-term growth.
To do this, we developed a phased roadmap—from redesigning the public-facing website to building custom dealer tools deep within the HubSpot ecosystem.
Phase 1: Website Migration & Redesign
We began by rebuilding their website using HubSpot CMS Hub Enterprise. This new site had to serve both external users (dealers and prospects) and internal teams who needed flexibility to update content without dev time. We delivered:
- A complete visual and UX overhaul
- Drag-and-drop modules for easy editing
- Responsive design across all devices
- Multilingual-ready architecture for future internationalization
By integrating the site directly into HubSpot’s CRM, we also created seamless lead capture and content personalization paths—turning their site from static brochureware into a growth engine.
Phase 2: HubSpot Onboarding & Automation Setup
Next, we laid the groundwork for data structure and automation. We implemented HubSpot’s:
- Sales Hub Enterprise to track dealer pipelines and coverage sales
- Marketing Hub Enterprise for lead nurturing, email campaigns, and onboarding journeys
- Service Hub Enterprise for dealer support workflows and feedback loops
- Custom objects and properties to represent dealer relationships and product coverage
- Automated workflows for notifications, sales updates, and follow-ups
This phase brought internal alignment and set the stage for scalable automation.
Phase 3: A Custom Dealer Portal Built with HubSpot’s API
The heart of the transformation came in building a secure, self-service dealer portal.
Using HubSpot’s membership functionality, we created personalized logins for each dealer. From there, we layered advanced customization:
- Custom-coded pages using JavaScript, CSS, and HubDB for dynamic content
- GraphQL for real-time data queries and dashboard displays
- Workflow custom actions to handle dealer-specific logic and exceptions
- Programmable emails that triggered relevant updates based on real-time status

This portal empowered dealers to:
- Register a sale in minutes (instead of days)
- View the status of submitted coverage
- Automatically trigger internal processes without friction
Training & Adoption: Empowering People, Not Just Systems
A successful migration doesn’t end with tech—it succeeds when people embrace it. We worked closely with both the internal team and their dealer network to ensure confidence and adoption.
Through hands-on onboarding and ongoing support, we shifted mindsets. Dealers who once dreaded the process of submitting a sale now had a tool they wanted to use. Internal teams who were bogged down by manual work could now focus on growth, not firefighting.
The Results: A Platform for Confident Expansion
The results speak for themselves:
- Dealer engagement soared: Frictionless tools led to more active selling.
- Sales increased: Easier processes made it simpler for dealers to offer coverage—and for customers to say yes.
- Leadership gained visibility: Real-time dashboards gave the team instant insights into sales volume, dealer performance, and revenue forecasts.
- The business expanded: What started as a U.S.-focused operation is now moving into Latin America, supported by multi-language capabilities and scalable systems.
